Commercial Manager - Facilities Management Department

The All England Lawn Tennis Club, the home of The Championships, Wimbledon needs to recruit a Commercial Manager, Facilities Management (FM) Department reporting to the Head of Facilities Management.    The Head of Facilities Management reports to the Estate Director, so the role is part of the wider Estate Department. 

The primary responsibility will be to support the FM team in reviewing all current procurement processes and contracts, developing a sound commercial model for the procurement and operation of all supply and service contracts.

The Commercial Manager must have experience in supporting a FM department or a major services company leading the procurement of service contracts, minor new works and wholesale suppliers. You must understand the roles FM suppliers play and the interaction between the services they provide and the interaction with the in house team. Experience of setting and monitoring financial control standards and systems to meet performance and regulatory compliance is essential.

JOB TITLE: Commercial Manager, Facilities Management Department

MAIN PURPOSE OF JOB:

To support the FM team in reviewing all current procurement processes and contracts, developing a sound commercial model for the procurement and operation of all supply and service contracts.

RESPONSIBLE TO: Head of Facilities Management

Background

The All England Lawn Tennis Club (AELTC) organises and stages The Championships, Wimbledon.  Our objective is for The Championships to continue to be recognised as the world’s premier tennis tournament and as one of the world’s greatest sporting events.

Main Responsibilities:

  • Review the current  FM department procurement process and identify areas for improvement; create a revised process with clear authority limits and processes
  • Carry out a review of all current contracts procured by the FM department, identifying risk and non compliance. Produce a programme for retendering contracts  based upon renewal dates / risk / value / brand image
  • Create and manage an approved suppliers list
  • Develop in conjunction with the FM team SLA’s / KPI’s
  • Negotiate specialist suppliers packages
  • Prepare contract documentation for RFI / RFP
  • Analyse contracts and make recommendations for the award of service contracts and minor works packages
  • Identify and develop a stock control system which can be used in conjunction with any  procurement processes
  • Agree stock availability, delivery options and discounts with wholesalers
  • Support the FM management team in the preparation and management of budgets
  • Interact with other departments through the sharing of good practice and providing advice as necessary in a professional capacity
  • Work in collaboration with the Estate Development team
  • Undertake other duties within the scope of the Facilities function as requested by the Head of Facilities Management 

Person specification

Essential

  • Experience in supporting a FM department or a major services company leading the procurement of service contracts, minor new works and wholesale suppliers
  • An understanding of the roles FM suppliers play and the interaction between the services they provide and the interaction with the in house team
  • Experience of setting and monitoring financial control standards and systems to meet performance and regulatory compliance
  • Excellent planning, organisational, and delivery skills and comfortable with periods of pressure
  • Excellent interpersonal and communication skills to work successfully across a broad spectrum of stakeholders including consultants, contractors, the public and staff
  • Leadership skills to manage contractors, sub-contractors and consultants to meet clear deadlines
  • Up to date IT skills -  competent use of Microsoft Project or Asta Powerproject, Excel, Word, Outlook

Desirable

  • Membership of the Chartered Institute of Procurement & Supply
  • Experience in a stadia or major public sports venue
  • Experience of working within a client organisation
